Privacy Policy

Element Express, Inc. (“Restock Base,” “we,” “us,” or “our”) provides a warehouse and inventory operations service that connects warehouses, their clients, and authorized employees (the “Service”). This Privacy Policy explains how we collect, use, disclose, and retain personal information when you visit or use the Service or communicate with us.

By using the Service, you acknowledge the practices described in this Privacy Policy. If you use Restock Base through a warehouse or client organization, that organization may also have its own privacy obligations and policies.

Our Role and Your Organization’s Role

For account administration, security, billing relationships, and direct communications with us, Restock Base generally determines why and how personal information is processed. For product, inventory, shipment, client, and employee information entered by a warehouse or its clients, Restock Base generally processes that information on behalf of the applicable organization and according to its instructions.

Warehouse and client administrators control which authorized users can access their organization’s records. Questions about information entered by your organization may need to be directed to that organization first.

Personal Information We Collect or Process

“Personal information” means information that identifies or can reasonably be linked to a person. Depending on how you use the Service, we may collect:

  • Account and contact information, such as your display name, email address, phone number, company name, mailing address, warehouse affiliation, account role, status, and preferences.
  • Authentication and security information, such as password hashes, email-verification status, multi-factor authentication configuration, session information, invitation records, and access permissions.
  • Warehouse and operational information, such as product names, SKUs, UPC/EAN and ASIN values, quantities, dimensions, weights, storage locations, outbound boxes, shipment status, tracking numbers, and related operational notes.
  • Uploaded and generated files, including product images, product labels, box labels, shipping labels, transparency labels, spreadsheets, export reports, and archives.
  • Device and usage information, such as IP address, browser and device information, page and feature interactions, timestamps, error information, print-agent status, discovered printer metadata, and audit events.
  • Communications, including information you provide when requesting support, responding to invitations, or otherwise communicating with us, plus transactional-email delivery status, timestamps, and provider identifiers.

Restock Base does not currently collect payment-card information through the Service. If paid subscriptions or payment processing are introduced, we will update this policy and identify the applicable payment provider before collecting payment information.

Sources of Information

We may obtain information:

  • Directly from you when you create or update an account, upload files, use the Service, or contact us.
  • From warehouse owners, managers, clients, or other authorized users who create accounts or operational records for you.
  • Automatically through necessary cookies, server logs, audit records, and the devices or print agents that connect to the Service.
  • From service providers and integrations when needed to host, secure, deliver, print, or support the Service.

Cookies and Similar Technologies

Restock Base uses cookies and similar browser storage that are necessary to sign users in, protect forms against cross-site request forgery, preserve security settings, and maintain the requested application state. We do not currently use advertising cookies or sell information for targeted advertising.

Your browser may allow you to block cookies, but necessary parts of the Service may not work correctly if required cookies are disabled.

How We Use Personal Information

We may use personal information to:

  • Provide, operate, maintain, and improve the Service.
  • Create and administer accounts, organizations, permissions, invitations, and authentication.
  • Process product, storage, outbound, label, printing, import, and export workflows requested by authorized users.
  • Deliver transactional communications such as invitations, verification messages, password resets, and service notices.
  • Protect accounts and the Service, prevent misuse, enforce access controls, investigate incidents, and maintain audit records.
  • Diagnose errors, monitor performance and availability, and provide customer support.
  • Comply with law, respond to lawful requests, resolve disputes, and enforce our agreements and policies.

How We Disclose Personal Information

We may disclose information only as reasonably necessary:

  • Within your organization, according to the warehouse, client, and employee roles and permissions configured in the Service.
  • To service providers, such as hosting, database, object storage, backup, email-delivery, security, monitoring, and customer-support providers.
  • To integrations you direct us to use, such as PDF or printing services, when an authorized user requests the related feature.
  • For legal and safety reasons, when required by law or reasonably necessary to protect the Service, our users, or others.
  • In a business transaction, such as a financing, acquisition, reorganization, or sale of all or part of the business, subject to appropriate confidentiality protections.
  • With your direction or consent.

We do not sell personal information and do not share personal information for cross-context behavioral advertising.

Third-Party Services and Links

The Service may connect to or contain links to third-party services. Their privacy and security practices are governed by their own policies. We are not responsible for third-party websites or services that we do not control.

Security and Retention

We use administrative, technical, and organizational safeguards designed to protect personal information, including role-based authorization, encrypted transport, password hashing, secure session controls, private file access, backups, and audit logging where applicable. No system is completely secure, and we cannot guarantee absolute security.

We retain information for as long as reasonably necessary to provide the Service, maintain business and operational records, comply with legal obligations, resolve disputes, enforce agreements, and protect the Service. Retention depends on the type of record, account status, customer instructions, backup schedules, and applicable law. Deactivating an account may restrict access without immediately deleting its records.

International Data Transfers

We and our service providers may process information in countries other than the country where you live. Where required, we use recognized legal safeguards for international transfers and require service providers to protect information consistent with applicable law.

Children’s Privacy

The Service is intended for business users and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child provided information to the Service, contact us so that we can investigate and take appropriate action.

Your Rights and Choices

Depending on where you live and subject to applicable exceptions, you may have rights to request access to, correction of, deletion of, or a portable copy of your personal information, or to object to or restrict certain processing.

You may update certain account information through Account Settings. Information controlled by a warehouse or client administrator may need to be corrected through that administrator. You may also contact us using the details below. We may verify your identity and authority before responding, and we will not discriminate against you for exercising applicable privacy rights.

Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to the Service, providers, practices, or legal requirements. We will post the updated policy here, revise the “Last updated” date, and provide additional notice when required by law.
